Privacy Policy

1. Who we are

Headstart Vehicle Logbook (“the app”) is provided by Headstart Consult CC, registration number CK 2008/2551211/23, [physical address], South Africa (“we”, “us”). For privacy questions, contact us at ceo@headstartconsult.co.za.

2. The short version

Your logbook stays on your phone. We do not have user accounts, we do not run a server that receives your trips, and we do not see, collect or sell your logbook data. The free version shows adverts, and the advert provider and Google Play handle some information as described below.

3. Information the app stores on your phone

• Logbook details you enter: company name, driver name and surname, vehicle make, model, registration number and dates, purchase and lease details, addresses, trips, odometer readings, trip reasons, fuel and maintenance costs.
• Disclaimer record: when you sign the data protection disclaimer, the app stores your typed name, the date and time, your time zone, your phone language and basic device details.
• Purchase status: whether you have unlocked the Ad-free or Professional version.

This information is stored inside the app on your phone. It is not sent to us.

4. Files you create

When you export to Excel, PDF or CSV, or save a backup, the app creates a file in the place you choose or sends it to the app you choose (for example email or WhatsApp). Those files contain your logbook data, and you are responsible for who you share them with. The Excel file also contains the signed disclaimer record.

5. Advertising (free version)

The free version shows banner and occasional full-screen adverts supplied by [ad provider, for example Google AdMob]. The ad provider may collect and use your device’s advertising ID, approximate location, IP address and information about how you interact with adverts, to show and measure adverts. We do not give the ad provider your logbook entries. You can reset or opt out of personalised adverts in your Android settings under Ads. The Ad-free and Professional versions do not show adverts. 6. Payments

Purchases are processed by Google Play. We do not receive or store your card or bank details. Google tells the app whether your Google account has bought a version, so that the purchase can be restored on a new phone. Google’s own privacy policy applies to that processing.

7. Sharing

We do not sell your personal information, and we do not share your logbook data with anyone. Information is shared only with the service providers named above (the ad provider and Google Play), or if the law requires it.

8. Keeping and deleting your data

Your logbook data stays on your phone until you delete it. Uninstalling the app or clearing its storage in Android settings permanently deletes it. Files you exported or backed up stay where you saved them until you delete them. Because we do not hold your logbook data, we cannot recover it for you; please keep an Excel copy or backup.

9. Security

Your data is protected by your phone’s own security, such as the screen lock. Please keep your phone and your exported files safe.

10. Your rights

Under South Africa’s Protection of Personal Information Act (POPIA), you may ask us what personal information we hold about you and ask us to correct or delete it. We hold none of your logbook data, but you can contact us at any time with questions or complaints. You may also complain to the Information Regulator of South Africa.

11. Children

The app is intended for adults who keep a vehicle logbook. It is not directed at children, and we do not knowingly collect information from children.

12. Changes to this policy

We may update this policy, for example when we add features. The effective date at the top shows the latest version.
